Clinical Project Coordinator

About the Role

Granite Bay Clinical Research needs a coordinator to keep 4-6 Phase II/III oncology trial sites moving through startup, activation, and maintenance. You will own IRB submissions, essential document collection, and TMF upkeep in Veeva Vault, working hybrid from the Boston office. The assignment runs through Harbor Recruitment on a contract-to-hire basis, with conversion to a permanent Granite Bay role targeted at about nine months.

What You'll Do

• Coordinate startup and maintenance activities for 4-6 Phase II/III oncology trial sites across the US
• Prepare and track IRB submissions, amendments, and continuing reviews for central and local boards
• Collect, review, and file essential documents in Veeva Vault eTMF, keeping each site inspection-ready
• Run monthly TMF quality checks and close documentation gaps ahead of sponsor audits
• Schedule and support site initiation, monitoring, and close-out visits, including follow-up letter tracking
• Maintain enrollment, deviation, and milestone trackers in CTMS and flag risks to the clinical project manager weekly
• Draft minutes and action logs for internal and sponsor calls, typically 3-4 per week

What You'll Bring

• 3-5 years of clinical research experience, with at least 1 year supporting multi-site trials
• Hands-on experience preparing IRB submissions and site startup document packages
• Working knowledge of an eTMF system, ideally Veeva Vault
• Solid grasp of ICH-GCP and the FDA regulations that govern clinical trials
• Clear, audit-ready writing for site correspondence and study files
• Availability to work on-site in Boston 2-3 days per week

Nice to Have

• Oncology trial experience, especially Phase II or III
• CCRP or ACRP-CP certification
• Experience supporting sponsor audits or FDA inspections
• Familiarity with CTMS platforms such as Veeva CTMS or Medidata
